What Alder IP needed
Alder IP's core needs were for a reliable, robust IPMS that included functionalities for automatic deadline generation, document management, in-software renewal processing and secure data storage. Given the law firm's handling of various IP types, it was essential for the digital solution to be capable of managing trademarks, designs and patents.
It was also necessary to be able to extract all of the relevant data on a particular case easily and in bulk. Inputting client contact information is crucial for interoperability with other internal functions, such as marketing, where communication on a broad scale is vital, and accounting, where data accuracy is paramount. Hence, a flexible system that could tackle each of these requirements while still being straightforward to integrate into existing work processes was needed.
For Alder IP, ease of operation and after-purchase support were to be decisive factors, as training and customer care would ensure the law firm did not have to divert time and resources away from its main activities. Similarly, software updates would need to be delivered outside of work hours and with ample notice.

Step 1:
A live demo of DIAMS iQ was provided to the client. The IPMS promised comprehensive docketing features, automatic due date calculation, bulk data extraction and convenient document management on a secure cloud platform that took less bandwidth than the legacy database.
Step 2:
Following the demo, our consultant thoroughly analyzed Alder IP's requirements and, together with the client, determined the optimal software configuration by gathering information on internal workflows, data organization and reporting behavior.
Step 1:
DIAMS iQ was configured by the implementation team at Dennemeyer according to Alder IP's unique situation. The biggest hurdle for the client at this stage was extracting key information from the legacy system, over which it did not have data sovereignty. Once the problem of retrieving client contact details and deadlines from the previous database was overcome, importation into DIAMS iQ proceeded smoothly.
Step 2:
DIAMS iQ was able to import records published in World Intellectual Property Organization databases about Patent Cooperation Treaty (PCT) applications. This reduced additional data entry on cases from other firms or national phase applications.
With the data migration complete, the IPMS was handed over to Alder IP during detailed training sessions. As the client opted to have its IP renewal instructions processed by the teams at Dennemeyer, Alder IP received an additional layer of scrutiny, providing a double-check for the accuracy of its data inputs.
