Migrating from a patchwork of Office tools to a dedicated IP Management System (IPMS)
Based in Bangkok, Rajah & Tann (Thailand) is a well-regarded full-service law firm, providing local and international clients with advice of the highest quality, right across the commercial spectrum.
With a team of over 60 lawyers, their experience covers a very wide range of Thai law matters. This includes not only Intellectual Property but also representation in civil, criminal and administrative proceedings, both international and domestic arbitration, entertainment and gaming law, as well as corporate, M&A, government investigations and compliance matters.
The Thailand office is part of Rajah & Tann Asia, the largest network of law firms in Southeast Asia, providing clients with seamless legal support across the region.
Unspecialized Office tools
The law firm uses Microsoft Excel to manage its clients' portfolios. This means it has to develop and maintain its own data structure while producing insights and reports.
Due date monitoring
As Excel does not provide a built-in IP due date monitoring system, the team puts a lot of effort into tracking legislation changes and updating their portfolio data manually.
Docketing
The current toolset in use does not include intelligent IP features, leading to a lot of manual docketing effort. This impacts the efficiency and productivity of the team.
What Rajah & Tann Thailand needed
The IP group at Rajah & Tann Thailand is relatively new, having been established just over two years ago. Despite its recent entry into the market, it is committed to aligning its practice with the high standards of the well-established Rajah & Tann network. To achieve this, it is crucial that all regional teams utilize the same IP management software (IPMS), ensuring smooth communication and consistency across the network.
Its portfolio includes large corporate clients whose trademarks it monitors in over 30 countries, a task that presents significant challenges. Effective IP management software is not only vital for handling docketing and deadlines but also for delivering polished presentations to its clients.
Rajah & Tann Thailand looked for a reputable IP software provider that offers cost-effective solutions featuring smart IP functionality and docketing tools tailored to the needs of IP professionals.

Demo and requirement analysis
Step 1:
Our software consultant provided a live demo of DIAMS U. As a cost- and resource-efficient IPMS, the software offers comprehensive docketing features and automatic due date updates thanks to an integrated IP Country Law Engine that monitors more than 5,000 due date calculation rules in 220 jurisdictions.
Step 2:
After the successful demo, our consultant carried out an in-depth analysis of requirements with Rajah & Tann Thailand, gathered all workflow, data structure and reporting needs and examined the optimal software configuration together with the client.
Configuration, delivery and data migration
Step 1:
Dennemeyer's implementation team configured DIAMS U to ensure Rajah & Tann Thailand's future portfolio database would accommodate all requirements, including individual categories, asset taxonomy, regional asset assignment rules and custom fields containing additional information on the managed IP rights. Thanks to this pre-configuration, the software could be fully tailored and delivered to Rajah & Tann Thailand in less than a month.
Step 2:
DIAMS U offers easy-to-use Excel templates for importing IP data simultaneously: bibliographic information, related contacts (such as applicants and owners), etc. This allowed all assets to be accurately linked together during Rajah & Tann Thailand's data migration, automatically generating IP families that included priority relationships.
Training and go-live
Once the software included the latest portfolio data and was ready to be handed over to Rajah & Tann Thailand, our software consultants hosted detailed training sessions for the client's entire IP team. As part of the support program, our experts also guided them through their first steps with DIAMS U and assisted with any additional questions that came up during the first weeks of usage.
